Terms of Service

These Terms of Service (“Terms”) form a legally binding agreement between you (“User”) and Smart Designs Online Ltd (“Spanr”, “we”, “us”). By creating an account or using the Spanr platform, you agree to these Terms. If you are using Spanr on behalf of a business, you confirm that you have authority to bind that business.

Spanr provides a cloud-based job management platform for UK tradespeople, including job tracking, AI-powered quoting, invoicing, scheduling, digital certificates, and integrations with third-party services.

We reserve the right to modify, suspend, or discontinue any part of the service at any time with reasonable notice (30 days, except in cases of emergency or legal requirement).

• You must be at least 18 years old and legally permitted to work in the UK
• You are responsible for maintaining the security of your account credentials
• You must not share your account with others (except through the team features on eligible plans)
• You must provide accurate, current information at registration
• Spanr accounts are for trade business use only, not personal use

Spanr offers a 30-day free trial (no payment card required). After the trial, continued access requires an active paid subscription. Plans are billed monthly or annually in advance. Prices are in GBP and are exclusive of VAT where applicable.

You may cancel your subscription at any time. Cancellation takes effect at the end of the current billing period. No refunds are issued for partial periods unless required by law.

We may change prices with 30 days' notice. Your continued use of the service after a price change constitutes acceptance.

You may not use Spanr to:

• Violate any UK law or regulation
• Submit false invoices or engage in fraud
• Transmit spam, malware, or harmful content
• Reverse-engineer, copy, or resell the platform
• Circumvent security or access controls
• Use AI features to generate misleading or deceptive quotes

You retain ownership of all data you input into Spanr. You grant us a licence to process that data to provide the service. We will not sell, rent, or share your data with third parties for marketing purposes. See our Privacy Policy for full details.

You are responsible for the accuracy and legality of the data you input, including customer personal data. You must have a lawful basis for processing your customers' data through Spanr.

Spanr's AI quote builder uses Anthropic's Claude API to generate suggested line items and pricing. AI-generated content is a starting point only — you are responsible for reviewing, approving, and taking legal responsibility for any quotes or documents you send to customers. Spanr does not guarantee the accuracy of AI-generated prices or recommendations.

Spanr provides tools to assist with compliance documentation (CP12s, EICRs, gate certificates, etc.). These tools are an aid only. You remain solely responsible for ensuring that your work meets all applicable UK regulations, British Standards, and industry body requirements. Spanr is not a substitute for professional competency qualification.

To the extent permitted by UK law, Spanr is not liable for: indirect or consequential loss; loss of profits or revenue; data loss (beyond reasonable backup obligations); or loss arising from third-party service failures (Stripe, Twilio, etc.).

Our total liability to you in any 12-month period shall not exceed the subscription fees you paid in that period. Nothing in these Terms limits liability for fraud, death, or personal injury caused by our negligence.

Either party may terminate this agreement at any time. We may immediately suspend or terminate your account if you breach these Terms or if we are required to by law. On termination, your data will be retained for 30 days to allow export, then deleted in accordance with our Privacy Policy.

These Terms are governed by English law. Any disputes will be resolved in the courts of England and Wales.
